Job Description: Fund for the Republic seeks an energetic, focused and productive Administrative Assistant to provide essential administrative support to a fast-growing, high-impact organization.

Executive Assistance

-Manages Executive Director’s (ED’s) calendar

-Manages ED travel arrangements

-Ensures ED has all necessary materials for all trips, meetings, calls and events

-Ensures proper ED preparation for all conference calls, meetings, and events

-Coordinates ED’s activities, travel, etc., with other FFR staff as needed

-Manages ED’s expense and time allocation reporting

Administrative

-Schedules and staffs board meetings and calls

-Assists with scheduling, planning and staffing of conference calls, meetings and convenings

-Manages all staff travel arrangements

-Manages all staff expense reporting

-Maintains online and paper filing systems

-Answers phones, takes messages and ensures pleasant, courteous and professional interactions with all who contact FFR

-Directs people contacting FFR to the appropriate staff person

-Maintains positive and professional relationship with FFR staff, board members, funders, advisors and other stakeholders and supporters

-Processes all incoming and outgoing mail

-Maintains office supply inventory

Development

-Assists with maintaining donor prospect databases

-Assists with maintaining donor files

-Assists with prospect research

Other tasks as may be assigned.

Position Requirements

-Candidate must have at least three (3) years’ experience in an administrative support capacity;

-Exceptionally strong writing and oral communication skills;

-Superb organization skills and attention to detail

-Excellent interpersonal skills. Must be professional, outgoing and positive.

-Exceptional ability to work as a member of a high-functioning team

-Ability to work independently, superior work ethic, self-motivation, and follow-through

-Able to effectively balance multiple priorities in a fast-paced environment

-Exceptional degree of judgment and discretion

-Strong knowledge of standard office software and apps, including Microsoft Office and Google Apps.

Location

This will be a full-time position based in Washington DC. Some travel is required.
