We’re looking for a self-starting, passionate, and hardworking individual who is ready to roll up their sleeves and support our entrepreneurial team.

The Moak Group is looking for an executive assistant/office manager with the following set of skills and experience:

• 2+ years of office management/scheduling/executive assistant experience, Bachelor’s degree preferred

• Strong organizational skills, with the ability to perform and prioritize multiple tasks with excellent attention to detail and seamless execution

• Campaign experience, communications, or political agency work are a major plus. Event planning or fundraising backgrounds are also advantageous.

• Budgeting, expense report, and bookkeeping experience [including familiarity with QuickBooks]

• Expert level written and verbal communication skills

• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrated client/customer service

• Scheduling experience for meetings and travel, managing an active calendar of appointments, executive-level administrative support experience preferred

• Ability to establish workflows, manage multiple projects, meet necessary deadlines, and contribute in a positive and effective manner in campaign style scenarios

• Superior communication and interpersonal skills with colleagues and office guests

• Strong relationship management, organizational and project management skills

• Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.

Job Responsibilities to Include:

• Working with firm leadership on budgeting, scheduling expenditures, managing expense reports, analyzing revenue and expenditures

• Reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications

• Provide logistical support for meetings, events and conferences

• Maintaining office calendar and staff appointments by planning and scheduling meetings, coordinating travel complete with detailed itineraries and agendas, and ensuring appointments are met

• Welcoming guests to the office, in person and on the telephone

• Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies

• Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
