    Small but busy Washington Government Affairs office (ICSC is headquartered in NYC) located near Metro Center seeks an Office Manager to provide administrative and operational support as well as assisting with the administrative functions of the trade association’s political action committee.

    Office Manager Duties & Responsibilities:

    • Responsible for day-to-day budget administration of the office. Processes all invoices, works on daily basis with Accounting Department at headquarters on accounts payable, staff expense reports; responsible for budget tracking and all facets of budget planning and forecast preparation.
    • Efficiently and courteously handle normal daily telephone communication.
    • Assists Sr. VP and other Vice Presidents with correspondence, travel arrangements, expense reimbursements, and other duties as assigned.
    • Assists with vendor/lobbyist contracts and contracts database.
    • Manage meeting logistics for GR or PAC meetings. Assist in preparation of meeting materials for various internal committees.
    • Process incoming mail, incoming faxes, and route inter-office memoranda and correspondence.
    • Maintains accurate lists of volunteer leaders and contract lobbyists/consultants.
    • Files comprehensive quarterly lobbying reports as required by the U.S. Congress.
    • Maintain an inventory of office and kitchen supplies.
    • Oversee the maintenance of the office equipment fax, copier, and printer and associated leases/service contracts.
    • Assists Senior Vice President with overall operation of the office – equipment and supply needs, vendors, personnel, liaison to building management, etc. Responsible for new employee paperwork, office setup, IT needs.
    • Liaison with Building Management office.
    • Other duties as assigned or approved by the Senior Staff Vice President

    PAC Administration Duties & Responsibilities

    • Responsible for record-keeping of federal and state PACs. This includes accurately recording and depositing PAC receipts and managing campaign disbursement budget. Process PAC contribution checks through headquarters and coordinate delivery of checks to the candidates in a timely manner. Manage the PAC software and utilize it to maintain accurate records and assist in fundraising.
    • Work with outside PAC counsel to file reports to the Federal Election Commission and corresponding state offices as needed.
    • Respond to all PAC invitations and maintain schedule of PAC events for federal lobbyists.

    Qualifications

    • 3-5 years prior work experience in government relations office and familiarity with Congress, PAC operations and government relations activities.
    • Meeting Planning experience.
    • Excellent customer service skills, takes initiative.
    • Organized and able to juggle multiple tasks simultaneously.
    • Adept at Word, PowerPoint, Excel and other database management.
    • Minimum education requirements – Associate degree.
