Position Description
We are currently seeking a bright, proactive individual to join our team as an Operations Assistant. The person in this position will coordinate events, perform various administrative duties, and assist with the firm’s day-to-day operations. This is a full-time, salaried position, with benefits and paid holidays. This position reports to the Director of Operations and requires a high degree of confidentiality and sensitivity.
Ideal applicants have experience in scheduling, communications, and/or event planning. They must have a keen attention to detail and exceptional multi-tasking abilities and interpersonal skills. Non-profit or government relations experience is preferred. Individuals with a passion for event management are encouraged to apply.
Primary Responsibilities
• Handle the communication of event logistics, setup, and special requests with internal departments and external vendors for fundraisers, receptions, client events, etc.
• Provide day-to-day administrative support for partners including scheduling, booking travel, and client relationship management.
• Maintain office wide events calendar and communicate events regularly to clients.
• Provide firmwide support for all day-to-day office operations.
• Coordinate with Operations Associates regarding event supplies and ordering.
• Maintain active communication with all Operations Department members.
Qualifications
A bachelor’s degree with one to two years of experience in the public or private sector. You should be computer and tech savvy and have a strong familiarity with Microsoft Suite, OneDrive and Box.
• You have a passion for helping people and solving problems for others.
• You have the ability to multi-task and simultaneously complete multiple projects on time without sacrificing quality.
• You’re an independent thinker that does more with less, comes up with a solution when there isn’t one, and isn’t afraid to say, “I don’t know but I’ll figure it out.”
• You work well in an environment where needs and priorities are subject to sudden change or revision.
• You have the flexibility to work early mornings or late nights when necessary.
